ITS SharePoint Services
Microsoft SharePoint is a web-based collaboration tool that allows users to share information, documents, calendars, tasks, and much more. SharePoint is available to all Vanderbilt departments.
About SharePoint
The following paragraph is from Microsoft’s Office SharePoint Server 2007 product overview:
Microsoft Office SharePoint Server 2007 is an integrated suite of server capabilities that can help improve organizational effectiveness by providing comprehensive content management and enterprise search, accelerating shared business processes, and facilitating information-sharing across boundaries for better business insight.
This collaboration and content management server also provides IT professionals and developers with the platform and tools they need for server administration, application extensibility, and interoperability.
How to Get SharePoint
Getting SharePoint 2007 is a two step process:
First, place an order for the “ITS Sharepoint Service” product online at http://its.vanderbilt.edu/softwarestore. Then request a site and or license(s) by clicking here.
After the order is processed and the request for site/licenses received, your request will be completed within 2 to 3 business days unless more information is needed or you have special requirements.Cost
The cost is $60 for a SharePoint 2007 enterprise and standard license. The price includes per-user costs for software assurance and Forefront antivirus software.
Support and Training
Computer Based Training (CBT) videos are available that provide instructions for many of the common features of SharePoint. If portal assistance is needed, contact ITS Partner Support staff by calling 615-343-9999, option 1, option 3. ITS provides support at the Operating System and SharePoint database level only. ITS does not provide site development nor provide SharePoint “how-to” information.

The Public Affairs department has published guidelines for Vanderbilt graphics standards. Please review the guidelines to conform your site to the official Vanderbilt standards. A general style guide is also available in pdf format.
Accessing Your SharePoint Site
1. Go to the url for your SharePoint site. If you are not the site owner, the site owner can provide the url to access the site.
2. Log in to the SharePoint site using your VUnetID and E-Password as listed in the picture below (User name: vanderbilt\VUnetID).

Enabling Automatic Login
To enable the automatic logon feature for Internet Explorer, follow the steps below to add your SharePoint site to the local intranet zone. NOTE: the computer must be joined to the Vanderbilt domain for the automatic logon feature to work.
1. In Internet Explorer, click the Tools menu and select Internet Options.

2. Click the Security tab, and in the Select a zone box click the Local intranet icon. In the Local intranet section beneath that, click the Sites button.
3. Click the Advanced button. The Local intranet dialog displays.

4. In the Add this website to the zone field, enter https://*.sp.vanderbilt.edu and click Add. Also enter https://sp.vanderbilt.edu and click Add .
5. Close all the dialogs and restart Internet Explorer.
Certificate Issues Fix
How to import a digital certificate into the trusted root certification authorities folder in the local computer certificate store of a computer. Download the certificate here (right-click, Save As...).
1. Click Start, click Run, type mmc, and then click OK.
2. Click File, and then click Add/Remove Snap-in.
3. On the Standalone tab, click Add.
4. Select Certificates, and then click Add. When prompted, select Computer account, and then click Next.
5. On the Select Computer page, select Local computer (the computer this console is running on), and then click Finish.
6. In MMC, expand Certificates – Local Computer, and then expand Trusted Root Certification Authorities.
7. In the details pane, right-click and point to All tasks, and then click Import.
8. On the first page of the Certificate Import Wizard, click Next.
9. In the File name dialog box, type the name and location of the file containing the Vanderbilt root CA digital certificate (VUrootCert.cer), and then click Next.
10. On the Certificate Store page, click Place all certificates in the following store, ensure that the Certificate store dialog box shows Trusted Root Certification Authorities, and then click Next.
11. On the final page of the wizard, click Finish.
Repeated Login Prompt Fix
You can make the following registry changes to your computer to eliminate the multiple login issue. You will need Administrator rights to your computer to make these changes.
• Adds the following registry punch as a Startup Script:
HKLM\SYSTEM\CurrentControlSet\Services\WebClient\Parameters
REG_MULTI_SZ “AuthForwardServerList”

Combined Fix for Groups
ITS has developed a Group Policy that can be applied by your Local Service Provider to eliminate repeated request to authenticate and the certificate error that may be experienced. It is located at ds.vanderbilt.edu/Organizational Units/ITS/Workstations/ePO-Test/SharePoint. The Group Policy makes the following changes:
• Adds the following to Trusted Sites:
http://sharepoint.vanderbilt.edu
https://*.sp.vanderbilt.edu
https://mysp.vanderbilt.edu
• Enables automatic login for trusted sites
• Adds the VUCA as a trusted root certificate authority
• Adds the following registry punch as a Startup Script:
https://*.sp.vanderbilt.edu
https://mysp.vanderbilt.edu
Dragging and Dropping Files

While viewing a list of documents in a library click the Actions dropdown list
and select Open with Windows Explorer.
Recover Deleted Items
Items that have been deleted can be recovered within 30 days from the Recycle Bin within SharePoint. To restore an item, click the Recycle Bin, select an item, and then click Restore Selection. Items in the Recycle Bin can be only be restored by the person who deleted them.
Note: In the User Agreement, Support Agreement, and Support Limitations below, the term “Service Provider” refers to Vanderbilt Information Technology Services. The term “Site Owners” refers to persons identified as such on SharePoint license requests. “Site Administrators” are assignees of Site Owners and so considered extensions of same.
User Agreement
Users of the of SharePoint at Vanderbilt agree to the following stipulations:
- Site owners are responsible for the development and maintaining their own sites.
- The Service Provider provides a secure site for SharePoint at Vanderbilt, with a security level comparable to that provided for VUspacegroups. That said, the Site Administrators and Site Owners are responsible for setting up permissions and user security for the SharePoint site(s) they administer or own. Any data, sensitive or otherwise, is the responsibility of the Site Administrator and Site Owner to secure.
- Site Administrators and Site Owners are responsible for maintaining the Site Administrator and key contacts database. Any changes to contact information should be submitted to ITS Partner Support by calling 343-9999 or emailing its-partner@vanderbilt.edu. When SharePoint has been updated the new Site Administrator will be contacted.
- The Service Provider will provide support at the SharePoint server and database level only. Issues related to site development or “how-to” will not be provided. The SharePoint Help page (sp.vanderbilt.edu/help) will have a basic FAQ section, a link to SharePoint computer based training, research topics, and third party vendor options.
- Currently, Internet Explorer is the only fully supported browser. Other browsers may work, but with limited functionality.
- All custom SharePoint development must be approved by Application Hosting. Contact your Service Delivery Manager to initiate this process.
- Removal from the SharePoint service will be facilitated by submitting the request to ITS Partner Support by calling 343-9999 or emailing its-partner@vanderbilt.edu.
Support Agreement
- The Service Provider will support the operating systems of all servers running SharePoint to include operating system patches and hardware failures.
- The Service Provider will support SharePoint services updates and upgrades in accordance to Microsoft best practices.
- All system changes and maintenance are subject to approval by ITS change management.
- The Service Provider will not provide development support for custom code. Any custom application that is identified as having a negative impact on the SharePoint server or server farm will be disabled and the site owner contacted by ITS Application Hosting or their Service Delivery Manager.
- Restoration of SharePoint sites and/or content will take 10 business days.
